When your new circuit arrives please check the packing list provided to make sure what is on the list matches what is in the bag.
If you have received the DVD circuit, please make sure you have both browser covers and DVDs.
Pull the circuit circulation card and use a dummy barcode card for barcoding. The circulation card should be used to help keep inventory of the circuit. When you prepare for the next rotation of the circuit, you will match the card up with the item. If you have any leftover cards, you will know that those items are still checked out.
Please store the Circuit bag and do not use it for ILL, you will need this bag for the next rotation.
When you receive your Circuit packet proceed as you would when searching for any record to barcode on.
When you open workflows to add the circuit items, if you put the packet number (i.e. AC46) under Search For, change the Index to general, and Library to all, it will bring up a whole list of that circuit packet
*By entering the correct media type, the loan period will default to your preselected settings.
**Be sure to enter information in all applicable fields before entering the barcode number or you will have to go back in and correct it.
Note: you should have a supply of “Dummy” bacodes on cards that you can re-use from circuit to circuit.
Look over the Circuit schedule to see when the next rotation is so that you can plan on when to pull the circuit from circulation in order to have the items back in time for the next rotation. It may be helpful to create a schedule of when to pull the Circuit titles so that they are ready for the next rotation, for example pulling the titles 2 weeks before the next rotation.
When you are pulling the circuit items, match the circulation card to the item, and replace the dummy barcode card with the circulation card. If you have cards but no item, figure out where the item is, for example is it checked out, so that you can have it in time for the rotation or as soon as possible after.
To remove the dummy barcode from the Circuit items record, so that you can use it again, use your libraries discard account. For example, FCLS_DISCARD. If you are unsure of your libraries discard account, please contact Megan at mbiddle@4cls.org
If you are sending an incomplete packet, please make sure to attach a note listing the items that are not in the packet.
Please place the Circuit items in the correct bag and make sure that the bag tags are labeled with the library code of where the packet is going next.
